Position Summary
The ideal candidate will be a proactive problem solver who has strong communication skills and pays close attention to detail. This candidate ought to have prior experience working in a fast-paced environment, performing administrative duties, and supporting executive-level management, and should have meticulous and exceptional organizational skills. This individual will be a self-starter and self-motivator, able to execute with minimal direction. This role is geared toward a highly polished and skilled Executive Administrative Assistant with experience in organizing and planning of daily, weekly, monthly calendars; prioritizing appointments, emails for responses and acting as a gate keeper for the CEO. Demonstrates sound judgment, discretion to work with confidential information, ability to develop workable solutions within everyday work activities (managing calendars, travel arrangements, meeting arrangement and materials), professionalism to work with employees of all levels in the organization, and collaboration with executive administration team members. Represents the organization, business area and leadership in a polished and professional manner.
Key Responsibilities
- Provide full executive support to the CEO.
- Responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants to coordinate a variety of complex executive meetings.
- Provides outstanding customer service, acting with the appropriate sense of urgency.
- Coordinates special projects for the Senior Leadership Team, collaborating with others as needed.
- Independently composes and distributes correspondence, memos, and other complex documents and reports, which require the use of office technologies and software applications.
- Plans, schedules and coordinates meetings, conferences, travel arrangements and maintains the business calendar for the CEO.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
- Acts as the liaison between CEO and other executives, associates, and stakeholders to ensure consistent communication and ensuring involvement or decision-making at the proper time.
- Prepare meeting presentations and ensure that all materials are accurate and professional, manage Senior Leadership Meeting presentations and logistics.
- Organize and manage the CEO’s office and electronic and paper files.
- Maintain professionalism and strict confidentiality with all materials and use discretion while dealing with business and personal information.
- Alert CEO to upcoming meetings & deadlines and assist with research & meeting preparation.
- Establishes and maintains official documents and records in appropriate files.
- Coordinate complex travel arrangements through internet-based travel systems (Concur).
- Manages the catering of private business meetings.
Required Knowledge, Skills, and Abilities
- Excellent computer and typing skills. Advanced skills in MS Windows and Office (Word, Excel, PowerPoint, and Outlook).
- High level of professionalism.
- Exceptional written and verbal communication skills including professional etiquette.
- Excellent interactive skills with the ability to work independently and proactively.
- Ability to communicate in various forms with internal and external team members with minimal supervision.
- Display curiosity and interest in understanding our business.
- Have flexibility to work outside of normal business hours when required.
- Highly motivated; with a capacity to multi-task in a fast-paced environment.
Required Qualifications
- A bachelor’s degree, or higher, in business administration, administrative assistant, or related field preferred.

The expected annual salary range for this position is $75-110K.
This position is eligible for a discretionary bonus with a target incentive of 10% of base salary.
